Before ordering a translation for a visa application, check the instructions for your destination, visa category and documents. They determine the language, translator qualifications and certification format you need. An Indonesian sworn translation should match those requirements; it is not automatically required for every application.
Start with the receiving authority’s checklist
Find the official document checklist for your application route. If an application centre handles submissions, compare its instructions with those of the authority deciding the application. Ask for clarification where they differ, and keep the relevant link or written response for your translator.
Two examples show why the details matter:
- For a UK Visitor application, documents outside English or Welsh need a full translation that the Home Office can independently verify. The translation must include an accuracy confirmation, its date, and the translator’s full name, signature and contact details. These are requirements for this route, not a universal rule for every UK application. UK Visitor supporting-document guidance.
- For a New Zealand visitor visa, non-English supporting documents need full English translations. Certification is generally unnecessary except for medical and police certificates. The applicant, a family member and the immigration adviser helping with that application cannot provide the translation. Translator identity, contact and qualification or experience details are also required. Other visa categories have different rules. Immigration New Zealand translation guidance.
Recheck the instructions before submission, especially if your visa category or document list changes.
Prepare the documents and translation brief
Use the authority’s checklist to decide which documents to translate. Birth or marriage certificates, employment letters, bank statements and police certificates may be relevant, but this is not a required list for every applicant.
For an initial enquiry, describe the documents, language pair, destination and deadline. Confirm how to share the files before sending sensitive documents or arranging delivery of originals. When preparing files for the agreed translation, include all relevant pages, endorsements, stamps and reverse sides in readable scans.
Give the translator these instructions together:
- The visa category, receiving authority and official checklist.
- The source and target languages, including any stated language variant.
- The exact documents and versions to be translated.
- The required certification statement, signatures and delivery format.
- Your submission deadline and time zone.
Flag inconsistent names, dates or numbers in the source documents. Supply reference spellings where relevant, but do not ask the translator to silently change a source fact. An issuing authority may need to correct the underlying document.
Agree the service and delivery
If the instructions require a sworn translator, ask who will sign the translation and how their appointment and relevant language direction can be checked. The company arranging the work and the individual signing it have different roles. Our guide to the legal basis of sworn translation in Indonesia explains what to check.
Obtain a written quotation identifying the documents, certification format, price and deadline. Confirm whether you need a digital file, hardcopy or both. If notarisation, an apostille or legalisation is requested, clarify the exact step with the receiving authority and arrange it separately where necessary. Do not assume it is included in translation.
Allow for document preparation and any physical delivery as separate parts of your schedule. Translation completion and arrival of a courier shipment are different milestones. See the cost and quotation guide for the information to agree before ordering.
Check the result before submission
Compare names, dates, numbers and document references against the source. Check that all agreed pages are present and that the certification format follows the instructions supplied for your order. Do not edit a signed or stamped translation yourself; raise any concern with the provider.
Submit the translation and supporting source documents in the format required by the authority. If it questions the translation, keep the explanation and send it to the provider so the specific issue can be assessed. Translation does not determine the outcome of a visa application.
Questions about visa translations
Does “certified translation” always mean an Indonesian sworn translation?
No. Read the receiving authority’s definition and translator requirements. Do not treat the two descriptions as interchangeable without checking the application instructions.
Can I translate my own documents?
Check the rules for your route. The New Zealand visitor example above excludes the applicant; it should not be used to infer the rule for every other country or visa category.
How long will the translation take?
Ask for a deadline based on the actual files, language pair and required output. Confirm when work starts and whether any separate formalities or delivery must be completed before submission.
Should I send my original documents immediately?
Start by explaining what you need. Confirm whether scans are sufficient for the translation and whether the receiving authority separately requires originals or certified copies. Agree any physical handling before dispatch.
