Sworn Translation vs Regular Translation: What to Order

Compare sworn and regular translation by intended use, signer status, certification, format and quotation scope before ordering.

Choose a translation service by its intended use and the recipient’s requirements. Sworn translation involves an appointed individual and the relevant certification arrangements. A translation commissioned without sworn certification can still require specialist knowledge, careful checking and substantial work.

What “sworn” identifies

Under Indonesia’s Minister of Law Regulation No. 4 of 2025, a sworn translator is an individual with translation expertise who has been appointed, sworn in and registered with the ministry responsible for law. Article 3 assigns responsibility for the correctness and quality of the translation to that individual. Official regulation, Articles 1 and 3.

When ordering a sworn deliverable, verify the signer’s relevant status and language direction. Agree the certification details and output format against the receiving institution’s instructions. A company’s branding alone does not identify the person who will sign.

What “regular translation” means in a quotation

Providers may use “regular”, “standard” or “general” to describe translation without sworn certification. Those labels do not explain the whole service. Ask whether the quotation includes subject-specific terminology work, editing, proofreading or layout preparation.

For website copy, internal communications or a product guide, the brief may focus on audience, terminology and usability. If the same material will also be submitted to an authority, establish that authority’s requirements separately. The fact that a document is commercial or informational does not settle every possible use.

Certified, sworn and notarised are separate questions

“Certified translation” is a term whose requirements depend on the receiving institution and jurisdiction. Do not assume that it always means an Indonesian sworn translation. Ask what certification statement and translator qualifications are required.

Notarisation, an apostille and legalisation are also separate from translating the text. If any is requested, confirm the exact procedure, the document concerned and who will arrange it. See what translation certification covers for the distinction between translation, source authenticity and acceptance.

Compare scope, price and format

Neither label establishes a fixed price or delivery time. Compare quotations for the actual language direction, document length, subject matter, checking, certification and output. Do not assume sworn work is always slower or that a complex translation without sworn certification must be cheaper.

Discuss how tables, stamps, handwritten notes and signatures in the source will be represented. Agree a readable format that preserves the relevant information and meets submission requirements. An exact visual replica is not a universal rule to infer from the word “sworn”.

Do I need sworn translation for a visa?

Check the specific route. Some instructions specify a certification statement or translator qualifications without using the term “sworn”. Use the visa guide to prepare the brief rather than treating all immigration applications alike.

Can I add certification later?

Ask before ordering. A sworn translator must take responsibility for the work they sign; an existing translation may need assessment and revision. Do not assume that a stamp can simply be added for a fixed fee or that every provider offers this service.
