Ordering an Indonesian Sworn Translation: A Buyer’s Checklist

Prepare an Indonesian sworn translation order, confirm scope and payment, check the result and arrange final delivery.

Prepare a translation order around the documents you will submit and the institution receiving them. A clear brief lets the provider confirm scope, price and delivery before work begins. This checklist follows an order through enquiry, confirmation and handover.

Prepare the brief

Record the source and target languages, intended recipient, purpose and submission deadline. Include the recipient’s written translation instructions or the official page containing them. If the wording is unclear, ask the recipient to clarify it before commissioning the work.

Make a document list with each file’s title, date or version, and page count. Flag attachments, reverse sides, handwriting and inconsistent names or numbers. Confirm sharing arrangements before sending sensitive files; do not send originals without agreeing whether they are needed and how they will be handled.

For a visa submission, use the visa translation guide to check the relevant route. If you are still deciding what type of service is needed, read the sworn and regular translation comparison.

Confirm the signer and output

For sworn work, ask which individual will sign and how their appointment and relevant language direction can be checked. Use our legal basis guide for those questions.

Agree the certification format, source-document copies, layout and number of deliverables. Ask whether you need a digital file, hardcopy or both. Do not assume that every recipient requires a wet signature or that an uploaded file is always sufficient; confirm its actual instructions and the provider’s ability to meet them.

Keep any requested notarisation, apostille or legalisation separate in the order. Establish the exact requirement, who will arrange it, availability and charges before proceeding.

Review the quotation and authorise the work

The written quotation should identify the documents and versions, language direction, scope, total, currency, taxes or additional charges, output and deadline. Check how the price is calculated and whether physical delivery is included. The cost guide explains the comparison in detail.

For Translation.co.id orders, you approve the quotation and the company confirms acceptance in writing. Work starts after acceptance, receipt of the 50% deposit and receipt of the necessary documents and instructions. The remaining 50% is payable before final files or hardcopy are released.

Retain the accepted quotation and identify one contact for questions. If you replace a source file or add a requirement, make that change explicit and agree any effect on price or timing before the additional work proceeds.

Check the deliverable and raise issues

When you receive the result, compare names, dates, numbers and document references with the source. Confirm that all agreed pages and certification details are present. Record the version you submit so any later question can be traced to the correct file. Do not alter a signed or stamped translation yourself; raise any concern with the provider.

Report errors with the order reference and affected passage. Translation.co.id corrects errors attributable to its work within the agreed scope at no charge, including necessary reissue, reprinting or resending. A change to your source or a new requirement is assessed separately; it should not be confused with correcting the company’s error.

If the receiving institution questions the result, obtain its reason in writing. Certification does not guarantee acceptance, but that does not remove responsibility for delivering the agreed work. The certification guide explains the distinction.

Arrange final handover

Confirm where files should be sent and who will receive any physical shipment. Agree the delivery service, charges and any insurance arrangements for that order. Translation completion, dispatch and arrival are separate milestones.

For a new enquiry, contact PT Indo Lingua Translocalize with the document list, language direction, recipient’s instructions and deadline. You can describe the job first and confirm the file-sharing arrangements before sending the documents.
